Who is responsible for this platform?
The GoDigital Limpopo Summit platform is operated for the Limpopo Provincial Government / Office of the Premier for the administration of the 1st Limpopo Public Sector 4IR, ICT & AI Summit 2026. For Summit privacy enquiries, use the contact details on the Contact Us page and mark the request “POPIA / Privacy Request”.
01Information we collect
Depending on how you use the platform, we may process your name, surname, email address, mobile number, organisation, job title, stakeholder category, attendance preference, exhibitor information, physical-attendance review status, accreditation information, networking preference, programme interactions, support enquiries and administrative correspondence.
02Access and security information
For approved physical delegates, the platform creates an accreditation reference and encrypted QR access pass. We also keep check-in and duplicate-scan audit records. For administrators, secure verification and audit records may be retained. Technical logs may include timestamps, browser/session information, security events and delivery diagnostics needed to operate and protect the service.
03Why we process information
Information is used to administer registrations and invitations, screen physical-attendance requests, provide virtual access, communicate programme and venue information, issue accreditation and QR passes, manage exhibitors, support networking where you opt in, operate live and digital Summit services, respond to enquiries, maintain security and auditability, and produce legitimate operational reporting.
04Lawful and fair processing
Processing is undertaken for legitimate public-sector and event-administration purposes and, where required, on the basis of consent or another lawful basis recognised by POPIA. Networking participation is optional. We aim to collect information that is adequate, relevant and not excessive for the stated purpose.
05Sharing and operators
Information may be accessed by authorised Summit administrators and service providers acting on behalf of the responsible party where necessary for hosting, email delivery, event operations, accreditation, venue access, support or related Summit services. Personal information should not be sold or made publicly available merely because a person registered.
06Retention
Records are retained only for as long as reasonably necessary for the Summit purpose, security and audit requirements, applicable public-sector recordkeeping obligations, dispute resolution, legal requirements and post-Summit reporting. Records that no longer need to be retained should be securely deleted or de-identified where appropriate.
YOUR RIGHTS
Access, correction, objection and complaints
Subject to applicable law, you may request confirmation of whether personal information is held about you, request access to it, ask for inaccurate or incomplete information to be corrected, request deletion where legally appropriate, object to certain processing, or withdraw consent where processing depends on consent. You may also raise a complaint with the Information Regulator of South Africa.
SECURITY
How the platform protects information
The platform uses role-based administration, audit trails, controlled publishing, authenticated SMTP for transactional email, encrypted QR entry tokens for approved physical delegates, duplicate check-in detection and application logging. No internet service can guarantee absolute security, so suspected incidents should be reported promptly through the Contact page.
Important:This notice describes the Summit platform’s operational privacy practices. Formal provincial information-governance policies, PAIA manuals, retention schedules and Information Officer processes remain applicable where required.
